Privacy Policy
This Privacy Policy explains how BEWMS processes information when you use the BEWMS warehouse management service, website, and the BEWMS integration for ChatGPT.
1. Information we process
- Account and organization data: name, email address, organization/store identifiers, roles, permissions and account settings.
- Warehouse operational data: products, SKUs, barcodes, stock levels, warehouse locations/racks, orders, fulfillment status, inventory movements and related operational records.
- Files you provide: files such as Excel or CSV documents when you intentionally upload them for a supported workflow.
- Security and technical data: session information, IP address, timestamps, authentication events and audit/security logs.
- Support data: information you send through support or contact channels.
2. How we use information
We process information to provide and secure BEWMS, authenticate users, enforce store/tenant isolation and permissions, answer warehouse queries, operate supported integrations, troubleshoot issues, provide support and comply with applicable legal obligations.
3. BEWMS for ChatGPT
When you connect or invoke BEWMS in ChatGPT, ChatGPT may send an authenticated BEWMS tool request to the BEWMS MCP service. BEWMS processes the tool inputs required for the requested warehouse operation and returns the relevant result to ChatGPT. Live operational results are scoped to the authenticated BEWMS store/tenant and its permissions.
Current integration: the BEWMS MCP toolset is primarily read-only. A permission-scoped write tool supports controlled product creation from user-provided .xlsx files. BEWMS analyzes the file first, classifies rows as NEW, EXISTING, conflict or invalid, and creates only explicitly confirmed rows that are still NEW after a server-side recheck. This workflow does not overwrite existing products and does not import or modify physical inventory/stock. Other warehouse data-changing operations are unavailable unless a dedicated permission-scoped tool is provided.
4. Service providers and integrations
We may use service providers that support hosting, security, communications, payments and infrastructure. When you choose to use an external integration, data required for that integration may be exchanged with the relevant provider. When you use BEWMS through ChatGPT, information sent through that interaction is also processed by OpenAI under your relationship with OpenAI.
5. Retention and deletion
We retain information for as long as reasonably necessary to provide the service, maintain security and auditability, resolve disputes and meet applicable legal obligations. You may request account or data deletion by contacting [email protected]. Some records may need to be retained where required by law or for legitimate security, accounting or audit purposes.
6. Security
BEWMS uses authentication, authorization, tenant scoping and other technical and organizational safeguards designed to protect service data. No online service can guarantee absolute security.
7. Your responsibilities
Organizations using BEWMS are responsible for ensuring that they have an appropriate legal basis to provide personal or business data to BEWMS and connected integrations.
